During build up and break down vehicle access to Carriageworks loading is via 229 Wilson Street, opposite Queen Street. See DELIVERIES, PARKING & STORAGE for more details. Access times are given on page 6 and access map can be found on page 7.
Deliveries can only be made between Tuesday 5 September and Sunday 13 September. During the event exhibitors have access to the Halls one hour before the Fair opens each day and one hour after the Fair closes. All goods entrances and loading areas must be clear of vehicles prior to event opening.

AISLES
In the interest of public safety all aisles, fire cupboards, appliances, emergency exit doors and public circulation areas must be kept clear at all times. If any activity on your booth will create a queue or an audience then you must leave room for visitors in your booth. The aisles are not to be used as queuing and viewing areas. All furniture and other booth displays including artworks, must fit within the boundaries of your booth as shown on the Floorplan.
ALCOHOL
The following restrictions apply:
- Alcohol is not permitted on the exhibition floor during bump in and bump out.
- Alcohol provided for the purposes of hospitality must be supplied by the Fair Caterers, please contact the organisers for details.
ANIMALS
No animals are allowed on-site, except assistance dogs.
ART HANDLERS
If you require assistance in the set up of your booth, please contact IAS Fine Art Logistics for further details, or complete and return the booking form (Form 11) prior to the deadline of 3rd August 2018. BAGS
All bags (except handbags) must be left in the cloakroom for security reasons. The cloakroom will be operational one hour before the show opens and will stay open until one hour after the show closes each day.
BOOTH DESIGN
We actively encourage Galleries to promote themselves and make the most of their Booth whilst at Sydney Contemporary. D3 Group can assist you in this by offering options on different coloured walls, furniture options, ceilings, etc. so please do contact D3 Group to see how they can help you. Please ensure your Booth is professionally presented at all times.
Please be aware that vinyl lettering or other forms of additional booth signage are not permitted, included but not limited to gallery name / logo, artist names.
CAR PARKING – EXHIBITORS
There is exhibitor car park on site at Traverser 2 on the west side of the building which is available for pre-booking only. The cost is $38.50 per day if booked in advance, please note parking will be limited to a maximum of one space per gallery. To book please complete and return the Parking Booking Form.

Ocula will provide the official online catalogue for Sydney Contemporary 2018.

Please send captions by filling out the .csv file emailed to you by Sydney Contemporary and uploading your images and .csv file into your individual Dropbox link emailed to you by Sydney Contemporary. Please submit your images and captions to Ocula by Friday 3 August 2018. If you do not submit by this date, you will unfortunately miss out on being listed in the catalogue.

CLEANING
Your booth and the aisles will be cleaned every morning BEFORE the show opens. If your Booth is covered by a nightsheet, you must attend and open your booth one hour before the show opens to allow cleaners time to clean. Please ensure that anything fragile is clearly marked / protected to prevent damage. All Booths MUST be completed by 12:00 on Wednesday 12 September 2018 so that cleaning can take place before the Fair opens at 13:00hrs.
CLOAKROOM
The cloakroom will be open half an hour before the Fair opens and for half an hour after the Fair closes.

Facilitation of Custom Clearances and Goods and Services Tax on Imports Overseas exhibits will form a significant part of Sydney Contemporary 2018. When artworks are imported into Australia, legislation requires the completion of import declarations which are processed by the Australian Customs Service. Most artworks are duty free, however all imports are subject to 10% Australian Goods and Services Tax (GST).
In order to assist international galleries with this process we have created an Associated Company ‘Sydney Contemporary Art Fair Imports Pty Ltd’ to manage the GST where we will act as your legal agent for GST purposes. We recommend that galleries use this service, as it will allow us to make the administration of importing goods into Australia and the GST component simpler for you. This allows overseas galleries to facilitate sales within Australia through Sydney Contemporary Art Fair Imports Pty Ltd. Any sales of artwork imported under this agreement will need to include GST in the sale price and be processed through the Sydney Contemporary Art Fair Imports Pty Ltd payment system. At the conclusion of the Fair, any unsold works can be re-exported, with no GST liability payable under the agent agreement. For artworks sold at the fair, the GST will be paid to the ATO (Australian Taxation Office) on your behalf by Sydney Contemporary Art Fair Imports Pty Ltd. Note; the GST rate in Australia is 10%.
Customs Procedures – Export Sydney Contemporary Art Fair Imports Pty Ltd is required to ensure that all items imported under the agency arrangement, which are not sold during the event, are immediately exported once Sydney Contemporary 2018 has concluded. Sydney Contemporary Art Fair Imports Pty Ltd is also required to receive import & export documentation as evidence of confirmed inward & outward international transportation moves. All International Exhibitors are required to supply this documentation to International Art Services.
Customs Clearance and Quarantine Charges Sydney Contemporary Art Fair’s GST Imports service charge does not include import and export customs, quarantine charges and delivery of artwork to and from Carriageworks or Sydney International airport or seaport. This service will be carried out and charged directly to International Exhibitors by International Art Services.
Customs Procedures: Imports Items described as sculpture, drawings and original paintings are classified as 'Duty Free' per the Australian Customs Tariff in their own right.
Customs Duty for Photography, Including Computer Generated Prints The Australian Customs service has ruled that items identified as photographs, including photographic fine art prints produced from negatives, and whether or not they may be also called prints and whether or not they have some artistic qualities, are excluded by legal note to chapter 97, and in its own right by virtue of the specific description ‘photography’, are classified in accordance with chapter 49 of the Australian customs tariff. Please contact International Art Services if you require further clarification.

- All arriving photography (per above) by International Exhibitors will be subject to this 5% Duty Rate.

Hand Carried Items
For any items that will be carried into Australia by hand by International Exhibitors, the following must be emailed to International Art Services two weeks prior to arrival on

DILAPIDATION
No materials may be fixed in any way directly to the building walls, all exhibitors will be charged for any damage caused to panels by incorrect fixings being used. Please remember that you remain responsible for making good any damage caused to the fabric of the building by you, your contractors or your agents. Carriageworks is a heritage listed building.
DISABLED ACCESS FOR EXHIBITORS AND VISITORS
We would ask that you ensure that your booth and exhibits comply with relevant legislation and are easily accessible to wheelchair users and that all signage is as clear as possible for those with impaired vision. Disabled parking is available at Carriageworks.
DISTRIBUTION OF MATERIALS
The distribution of materials such as printed cards / handbills / circulars / leaflets from any area except your own booth is prohibited.

ELECTRICAL REGULATIONS
All electrical wiring and equipment not provided by the Sydney Contemporary official Contractor must have a certification to prove that it conforms to electrical regulations. Strobe lighting is NOT permitted. If displaying neon artworks, please contact EDL Electrical for advice. All electrical items must display a valid test and tag label. Items not showing tags can be tested onsite by EDL at a cost of $20 per appliance.
EXHIBITOR PROPERTY
Although the utmost care will be taken with security arrangements, Carriageworks venue management and the Organisers accept no responsibility for loss or damage to exhibitors’ equipment or property whilst it is on site at Sydney Contemporary. Exhibitors should ensure they are adequately covered by insurance for loss, damage and theft.

FIRE SAFETY

FIRE EQUIPMENT
All fire equipment must be visible and accessible to the public – under no circumstances should your furniture or booth material obstruct this equipment. For fire regulations, please refer to the Carriageworks Emergency & Safety Plan on page 16.
FIRST AID
If assistance is required please contact the Organisers Office. All incidents and accidents must be reported immediately to the Fair Organisers or security. Please do not call the emergency services yourself, Carriageworks co-ordinates with the emergency services directly to ensure minimum delay. Third party calls slow down response time. Your Booth furniture and contents must not encroach into the gangways and will be removed if they do.
GST (GOODS & SERVICES TAX)
GST on Sales
10% GST is payable on all artworks sold and delivered in Australia, including those on offer by International Galleries. The GST must be included in the price that is charged at the time of the sale, and the seller is then obligated to lodge and pay the GST component to the Australian Taxation Office. Where artworks are exported from Australia, the sale is GST free. If you are an international gallery and you do not hold an Australian Business Number (ABN), you need to be aware that under Australian law you will be required to pay the 10% GST up front on importation of all artworks based on the declared value of the artworks. This means that you will be paying the GST on art that you have not yet sold and in the instance that you do not actually sell the artwork, you will still have paid GST. In order to apply for a refund on this GST, your gallery will need to apply for an ABN, which can be a timely and difficult process, which does not necessarily guarantee that the refund will be granted.
Sydney Contemporary has created an Associated Company ‘Art Fairs Australia Imports Pty Ltd’ to help manage the GST on your behalf. We recommend that galleries use this service as it will allow us to make the administration of importing goods into Australia and the GST component simpler for you.
If you choose not to use Art Fairs Australia Imports Pty Ltd’ to manage the GST we strongly recommend that you get financial advice from an accountant that has experience in dealing to the Australian Taxation Office (ATO) before the fair.
If you have appoint Art Fairs Australia Imports Pty Ltd (see Customs section for more details) as your agent to provide GST Imports Services, the sale of any artworks must be handled through this company. Art Fairs Australia Imports Pty Ltd will provide the relevant invoice documentation to all parties and remit funds to both the Australian Taxation Office and to the Exhibitor. A service charge will be levied for this facility (see Sale of Artwork & GST below). Artworks imported with Art Fairs Australia Imports Pty Ltd as the nominated agent, which are not sold at the Fair and returned overseas will not incur GST.
Art Fairs Australia Imports – GST Import services By appointing Art Fairs Australia (AFA) Imports Pty Ltd’ to manage the GST on your artworks, we will act as your legal agent for GST purposes. This allows overseas galleries to facilitate sales within Australia through AFA Imports Pty Ltd. Please refer to the GST Import Services document, which can be downloaded from the Exhibitor Information tab on the online Exhibitor Manual.
Art Fairs Australia Imports Pty Ltd will have an onsite payment system through which the payments must be processed (this also applies if a sale is made after the fair). Using AFA Imports will mean that you will only pay GST on artworks that are sold at the Fair. Under the agents’ agreement, artworks not sold in Australia and returned overseas, will not incur GST.
AFA Imports will collect the GST from all of your sold artworks on your behalf and will make the payment to the Australian Taxation Office. AFA Imports Pty Ltd will have representatives on site at Sydney Contemporary 2018 to process all sales made by your gallery with electronic banking facilities.

In appointing AFA Imports Pty Ltd to act as your agent for GST purposes you will be committing to using our preferred fright agent International Art Services for the import and export of your Artworks for Sydney Contemporary 2018.
Export of Exhibits Where artworks are exported from Australia, the sale is GST free. Note: if artworks are not sold and not re- exported; they will be deemed to have been sold in Australia and GST will be charged to you. If you have elected to use Art Fairs Australia Imports Pty Ltd as your nominated agent, you will be required to provide proof of export, including export customs entries in order to substantiate any GST exemption. Our nominated shipper International Art Services will able to assist you with this.
Documentation and Adherence Australian Customs and GST laws contain detailed conditions and procedures that must be followed in respect of the import and export of goods and the payment and refund of GST. These include ensuring appropriate documentation is provided. Failure to comply with the requirements of Australian Customs and Australian taxation laws, or having incomplete or unacceptable documentation could cause additional costs or delays in the Customs clearance of the exhibits or result in refunds not being payable. Please ensure that you familiarise yourself with these requirements or check with our nominated shipper International Art Services.
Sale of Artwork & GST All sales of artwork, including those on offer by international exhibitors will be subject to 10% GST which payable by the purchaser. The price of any artworks for sale at Sydney Contemporary 2018 must be inclusive of GST.
If you have appointed Art Fairs Australia Imports Pty Ltd to provide GST Imports Services, Art Fairs Australia Imports Pty Ltd will collect the GST from the purchaser on your behalf. Art Fairs Australia Imports Pty Ltd will have representatives on site at Sydney Contemporary 2018 to assist with electronic banking funds collection facility. This will enable Art Fairs Australia Imports Pty Ltd to collect on behalf of the International Exhibitors the total sale price inclusive of the GST.
If you have appointed Art Fairs Australia Imports Pty Ltd to provide GST Imports Services, all sales made by you need to be finalised via the Art Fairs Australia Imports Pty Ltd electronic banking facility, which will enable the GST to be correctly accounted for and reported by Sydney Contemporary 2018. Art Fairs Australia Imports Pty Ltd will remit the amount collected once cleared and received, excluding GST, credit card fees and any other expenses which are not covered by the service fee, per the banking instructions of the International Exhibitor. Funds will then be forwarded to the advised overseas account via telegraphic transfer.

HANGING ART
Due to the temporary construction of the walls, and the need for bracing, we strongly urge you to liaise with D3 Group regarding the hanging of your art (heavy) to ensure that the walls are not placed under undue strain. If the piece is too heavy for the walls, D3 Group can also advise you on using the rigging points in the venue ceiling to hang or support your art, though additional charges will be applied.
IAS Fine Art Logistics is also able to assist with the hanging of artwork. Please contact IAS Fine Art Logistics for further details, or complete and return the booking form (Form 11) prior to the deadline of 3rd August 2018. Art Hanging Services at Sydney Contemporary will be charged at $105.00 per hour per staff, for a minimum of two (2) hours.
IAS HELP DESK
IAS Fine Art Logistics will be managing a Help Desk for the duration of Sydney Contemporary. Located within the venue, IAS will be able to assist you with all your storage and transportation requirements, during or post the fair.
The IAS Help Desk will also be offering a materials and equipment supply and rental service for your convenience.
HEIGHT CONCERN OF YOUR ARTWORK
If your artwork is 3 meters or above, it must be constructed under the supervision of Registered Structural Engineer. The Registered Structural Engineer must also verify the stability of the temporary structures on-site and submit a safety report to the Organisers prior to the first day of the open period.
If the artwork is 4.5 metres or above, they should not be erected unless a Registered Structural Engineer has verified their structural calculations and design for stability prior to set-up or erection. Any works of this height must be pre-approved by the Fair organisers.
INTERNET
Sydney Contemporary will have WIFI fitted throughout Carriageworks which galleries will be able to access. There is a helpdesk support number should you have any enquires: +61 2 9550 5001.
- The Helpdesk is for internet access support only and is not a general computer helpdesk.
- Access to the wifi network requires equipment capable of 802.11b/g/n and WPA encryption. Booths will not be given support on their hardware or software, and they must have all relevant patches or upgrades installed. Supported provided in connecting to the WIFI network.
- Carriageworks reserves the right to exclude users from the network who have viruses or other security issues on their equipment, or who are abusing the network service to the detriment of other users. Certain services such as bulk email sending, bit torrent and peer to peer file sharing will be blocked.
LABOUR

LADDERS
The use of ladders in excess of 2 meters in height is prohibited within the Carriageworks. D3 Group will be able to assist in this matter if this causes a problem. Please note, ladders will not be available for hire during the Fair. If you require equipment to hang artworks, please contact International Art Services in regard to hiring Art Handlers.
LANGUAGE INTERPRETER SERVICES
If you require the use of an interpreter during Sydney Contemporary please contact Sydney Contemporary for further information.
LOST PROPERTY
Any Lost Property should be handed into the Organisers Office. The property will be held by the Organisers for 2 months after Sydney Contemporary.
MUSIC
Music is prohibited unless it forms a part of the artwork you are bringing. Please inform the Fair Organiser if you intend to play music as we will need to approve the sound levels. All exhibitors must comply with PPCA and APRA’s licensing/copyright requirements for the use of recorded music, videos, DVD’s or any other published work covered under their licensing agreements. You are required by law to ensure you have the appropriate licenses. Please visit www.apra-amcos.com.au or www.ppca.com.au for more details. N.B. Music requires the permission of the Fair Organiser.
It is up to the exhibitor to ensure that have the appropriate permit during Sydney Contemporary.
NAME BOARD
You will receive two nameboards on the entrance signpost panels to your booth. They will include your gallery name, booth number and City of Origin.
OHS & SITE SAFETY
All persons onsite must wear a high visibility vest and wear closed toed shoes during build up and break down. You will not be permitted to access the site if you do not adhere to these rules. Children under the age of 16 will not be permitted within the venue during this time. Appropriate Personal Protective Equipment (PPE) meeting Australian standards must be worn on site at all times. You will be able to buy high vis vests onsite during build up.
OPENING TIMES
Please ensure all your staff is aware of opening times and your booth is open and ready for business 10 minutes before the opening announcement. If your booth is unattended when visitors arrive it reflects badly on the Fair and your Gallery.
PASS OUT FORMS
To protect the security of your work and exhibitors, artwork removed from the Carriageworks must be accompanied with a security pass out form. Pass out forms will be given to you in your Welcome Pack upon arrival at the Fair. Each exhibitor must be responsible for his or her allocated slips.

PHYSICAL BARRIER
Sydney Contemporary is a Fair open to the public. Please expect the Fair to be very crowded on the weekend and for inquisitive visitors to try and touch the artwork. If you are worried about valuable pieces being touched, you can put up stanchions to keep a distance between the public and your artwork. You can order stanchions (physical barriers) from D3 Group using FORM 8. DO NOT TOUCH signs are available from the Organisers Office.

POWER
Power will be switched off an hour after show closes. Please note that once the fair closes on Sunday 16 September power will not be reconnected for health and safety reasons. If you require power during build up and breakdown then please inform the Fair Organisers.

Buses, trains, taxis, and a VIP car booking service will be in operation throughout the Fair, however the conveniently located arts precinct provides the existing framework to drive or take advantage of public transport.
PARKING
Enter at 229 Wilson Street, opposite Queen Street. During the operational dates of the fair, a valet parking service will operate at a day rate of $49. Parking during build up and breakdown will be on Wilson St.
PUBLIC TRANSPORT
Train: Redfern Station is an 8 minute walk, with Macdonaldtown and Newtown Station both a 10 -15 minute walk. Buses: 422, 423, 426, 428, 370, 352. Nearest stop is at Codrington Street at City Road, approximately a 5 minute walk to Carriageworks.

Insurance
We would like to advise that it is the responsibility of each exhibitor to arrange insurance covering transport to the exhibition, during the exhibition, for the return journey and the period when the goods are handled by IAS Fine Art Logistics.

SMOKING
Carriageworks is a NO SMOKING venue. Smoking areas are designated outside of the Venue.
STAFF
It is imperative your booth is staffed at all times during opening hours. The Organisers cannot be responsible for any loss or theft from Booths throughout the show. Visitor traffic will be very heavy on the weekend. We would advise you to prepare enough manpower to monitor your booth, especially to keep artwork from being touched by the public.
STORAGE
IAS Fine Art Logistics will be offering onsite secure storage. Exhibitors will be permitted to store artworks onsite in an allocated area provided this has been booked in advance. Whilst in store all of your artworks will be managed by IAS’s in-house inventory management system and bar coded for identification. Purpose built, off the floor, art racks will be available in three standard sizes. Secure storage space is limited and is allocated on a first come first serve basis. There will be a charge levied for this service. Please contact IAS Fine Art Logistics for further details, or complete and return the booking form (Form 10) prior to the deadline of 3rd August 2018.
Sydney Contemporary also provides space for empty crates. Empty crate storage is free of charge, but please note that it will not be secure/managed over the course of the fair. Whilst Fair Organisers will do their upmost to ensure your property is secure, this area is a shared communal area for all exhibitors and the Fair Organisers can not be held responsible for any loss or damage to property left in this area. All materials and stand fittings must be removed from storage after breakdown otherwise the Fair Organisers will need to dispose of them and the cost will be passed on to the exhibitor.

Vinyl lettering or other forms of additional booth signage are not permitted, including but not limited to:
- Gallery Name / Logo
- Artist Names
WASTE
All waste, except in small quantities of litter, produced by your booth must be removed from the venue at the end of the event. A charge will be made for disposal of large items such as empty crates, booth fitting materials, boxes of literature. Any items places in the aisles during build up, and during the fair, will be deemed to be rubbish and will be removed.
