Access
During bump in and bump out vehicle access to MCEC loading is via Normanby Road, South Wharf. See Venue and Shipping for more details.
Deliveries can only be made between Monday 20 October and Tuesday 21 October. During the event exhibitors have access to the halls 1 hour before the show opens each day and 1 hour after the show closes. All goods entrances and loading areas must be clear of vehicles prior to event opening.
Accidents
If you are involved in or witness an accident or near miss while on site, please report it to the Organiser’s Office immediately.
Trained first-aiders are present at the show — if you require first-aid assistance, contact security or the organising team via the Organisers Office.
Accommodation
Accommodation can be booked here .
Aisle Management
No exhibits, furniture or stand build may encroach on the aisles, which are the minimum required to comply with fire-safety legislation. All exhibits and objects must remain within stand boundaries. The Organisers may remove, without notice, any items outside a stand; associated costs will be charged to the Exhibitor.
Any exhibitor with excess stock should arrange off-stand storage with GEL Events.
Alcohol
Exhibitors may not give away or sell alcohol for on-site consumption. Alcohol is prohibited during bump in/out — anyone working under the influence may be escorted from the venue.
Animals
Only assistance dogs are permitted without written permission. To bring other animals or livestock, apply via the organisers.
Audio-Visual
Exponet can supply AV equipment — order via the Exponet Exhibitor Service Desk or through the Exponet exhibitor kit.

Badges & Passes & Inductions
Exhibitor Passes
Exhibitor passes will be available to print after 3 pm on Mon 20 Oct 2025 at the registration desks. Register yourself and colleagues HERE.
Exhibitor Passes are valid for the entire show; induction is not required for personnel only attending during show hours.
Any exhibitors involved in the move in / move out need to be inducted — please complete the venue induction here.
Contractor Passes
Contractors wishing to access the halls from Mon 20 Oct must be inducted. Contractor Passes are not valid for open days — if entry is required during the show they must also register for exhibitor passes.
Balloons
Helium-filled balloons are not permitted. Air-filled balloons must be fixed to your stand.
Bump In and Bump Out
Please refer to the ‘Show Timetable’ section of this manual for access times according to your stand type.
Canvassing / Aisle Congestion – Off-Stand Promotions
Business may only be conducted from within your stand. Activities must not spill into aisles; roaming costume characters are included. Report unwelcome commercial visitors to the organisers.
On-stand promotions are permitted provided they do NOT interfere with neighbouring companies. Presentations that crowd aisles or create hazards are prohibited.
Catering
MCEC is the sole provider of food and beverage. All catering must be organised through MCEC; outside suppliers are not permitted without written approval.
A full range of food and beverages will be available from the exhibition café during bump in and show open periods. Crowds must not block aisles.

Cafés and outlets are located at MCEC Convention Centre (ground level & level 2), within each Exhibition Hall, and in the Theatre (levels 2, 3, 4 & 6).
Exhibitors may not bring external catering; MCEC retains exclusive rights.
Car Parking – See Parking
Carpet
Aisles and shell-scheme stands will be carpeted in charcoal tiles. Space-only exhibitors must provide their own flooring. Carpet tape must be removed; charges apply for residue.
Chemicals
If you intend to use chemicals, notify Keir Duncan and submit a risk assessment and MSDS to comply with venue regulations.
Children
Children under 16 are not permitted during bump in/out. During show open, notify organisers in advance if anyone under 16 will be working on your stand.
Cleaning
The aisles and your stand will be vacuumed each evening. Bulk waste should be left in aisles during bump in or at day-end for removal.
MCEC provides waste-segregation facilities. Please assist by using the appropriate bins.
Items left after 20:00 Thursday 23 Oct (Shell Scheme) or 12:00 Fri 24 Oct (space-only) will be disposed of. For additional waste removal or stand cleaning contact:

Code of Practice
Ensure your stand is staffed at all times during show hours and that all exhibits remain on display. Staff should dress business-casual. Dismantling may not commence until all visitors have left the halls on the final day and a PA announcement is made. Products of non-exhibiting companies require organiser approval before display.
Compressed Air
Compressed-air reticulation infrastructure is available in the exhibition halls.
The system consists of:
1 x 690kPa industrial quality air, 15mm ball valve (half inch BSP female) on 15mm galvanised steel piper risers, delivers 25l/s, 2-3 degrees, maximum pressure 700 kPa (7bar)

Customs & Excise
Customs clearance occurs at the port of entry. GEL Events can assist with this — see the Key Contacts page.
Delivering & Vehicle Access to the Venue
GEL Events are the official logistics contractor; details are in the Organisers & Suppliers section. Refer to Directions & Delivery Instructions for access details. You may book your own transport, but plan to move goods from the loading dock to your stand. Exhibitors with cars or small vehicles should park in the venue car park and bring goods by hand via lifts at Bay 10 (parking charges apply).

Demonstrations
Highlight demonstrations on your health-and-safety form and submit a risk assessment.
Crowding of aisles/walkways is not permitted. The organiser will arbitrate any disputes; their decision is final. Noise must stay below 50 dB; power may be disconnected if limits are exceeded.
Dilapidations & Damages
Fixing to venue fabric is forbidden; charges apply for damages, paint spillage, abandoned tape, etc. Bolting into the floor is not allowed. Charges also apply for stands left for disposal without prior permission. Contact operations@melbournebuildexpo.com.au for quotes or information.
Space-only exhibitors must remove all materials during bump-out and obtain a site-clearance form before departure.
Draping, Decorations, Artificial Flowers, Candles
All stand dressings must be flame-retardant and certified. Display candles may not be lit. Projectors, gobos, balloons etc require prior approval — email operations@melbournebuildexpo.com.au.
Drones
Drone flights are not permitted during show hours. For permission, contact operations@melbournebuildexpo.com.au.
Electrical Services
Exponet is the official electrical contractor. Space-only stands include no supply; order via the Exponet Exhibitor Kit or on-site service desk. Shell-scheme stands include standard 2-pin 4 A outlets (220v)
Power will be switched off 30 min after show close each day; 24-hour supplies must be ordered if needed.
Testing and Tagging
All electrical equipment must display a current test label. A testing company will be onsite and can tag non-compliant items for a nominal fee. Equipment must be tested in accordance with AS/NZS 3760 before use.
Electrical installations must comply with AS 3000 and the code of practice for temporary installations. Work must be carried out or supervised by a certified contractor. If 24-hour power is required, arrange this through the venue.
Electrical Mains Power Boxes
Each block of shell-scheme stands has a mains fuse box fixed to one stand on the block at the top of the wall over a floor duct /pit. Do not cover the box; access may be required. Contact Exponet if you need details.

Exponet Exhibitor Kit
Lighting
Light fittings must be secured and earth-bonded. Flex must not drape across ceiling grids and must be cable-tied to structure. Guard all spot/flood/halogen lamps and keep lighting 300 mm from combustibles. Circuits must not exceed 1 000 W and require secondary support if fixtures weigh over 1 kg.
Socket Outlets
Only one 4-way extension lead (max 2 m) may connect to each socket. Extension leads must not be daisy-chained; block adaptors and drum reels are prohibited.
Emergencies
For any emergency (medical, fire, suspicious package) notify security or the organisers office immediately so emergency services can be directed quickly. Familiarise yourself with emergency procedures in the WHS section.

Fire Precautions
Fire extinguishers are placed around the halls and must not be removed. Additional extinguishers may be required for high-risk activities. Fire doors, hydrants and sprinkler systems must remain unobstructed. All stand materials must be fire-retardant; no naked flames or LPG without written approval.
Activities using naked flames require MCEC approval — email exservices@mcec.com.au.
First Aid
First Aid: contact organisers or security for assistance.
Floor Loading & Display
Exhibition Centre halls and the Event Deck slab: 20 kPa (2 000 kg/m²). All other areas: 5 kPa (500 kg/m²). Heavy or unusual loads must be discussed with organisers in advance.
Food and Beverage
All catering must be ordered through MCEC. Outside food suppliers are not permitted. On-stand hospitality must not block aisles.
Forklifts, Lifting, Freight Forwarding & Customs
Contact GEL Events for forklift/jib/Franna services and customs. Book via the GEL Quote Request Form . No exhibitor may operate their own lifting equipment inside the hall.
Furniture
Order furniture through the Exponet Exhibitor Kit. Aisles are minimum-width by law; nothing may project beyond your stand boundary.
Gas
Notify organisers before 1 Sep 2025 if bringing gas. LPG cylinders max 9 kg (two per 3 × 3 m stand). Approval required from exservices@mcec.com.au. Details must be submitted at least seven days before the event.
Hazardous and Excessive Waste
Exhibitors must remove excessive or hazardous waste or incur removal charges. Hazardous waste (bulbs, paint, oils, etc.) must not enter general waste or drainage; arrange safe disposal via organisers.
Hazardous Exhibits
Hazardous items (knives, hot equipment, machinery) must be set back from aisle edges and guarded. Declare all hazardous exhibits and submit a risk assessment to operations@melbournebuildexpo.com.au.
Hot Works
Grinding, cutting, welding, etc. require a venue hot-work permit. Contact the organisers office to arrange.
Induction
All contractors and exhibitors present during bump-in/out must complete the MCEC Site Induction before arriving.
Insurance
Exhibitors must carry public-liability insurance of at least AU $10 million and supply certificates of currency before 1 Sep 2025. WorkCover and adequate cover for loss or damage are also required.
Intellectual Property Rights
Exhibitors warrant they hold rights to all intellectual property used or displayed and will not knowingly infringe another party’s rights.
Internet Access & Telephony
Free public Wi-Fi is available for basic use. Premium connections can be ordered via the Internet Services Request Form. Only venue wireless infrastructure may be used; rogue access points will be disabled.
Lead-Generation Scanners

Lifting Equipment
GEL Events provide lifting services up to 7.5 t. No exhibitor-owned lifting equipment may operate in the hall. Heavy items must arrive on Sun 19 Oct 2025.
PA Announcements
No public address announcements can be made during show days.
Music, Noise Levels & Performing Rights
Amplified sound requires organiser approval and must not exceed 50 dB at stand perimeter. Organisers may terminate performances that cause nuisance.
Naked Flame
Notify Keir Duncan if using naked flames; see Hot Works.
Organisers Office
Located at the rear of Hall 4; open from 08:00 daily throughout tenancy.
Passes
See Badges & Passes. Passes must be displayed at all times during bump-in/out.

Plumbing / Water & Waste
F Wood & Sons are the exclusive plumbing provider. Order well in advance. Venue supplies connection points in nearest pit; exhibitors must run lines to equipment.

Photography
Visitors may photograph your stand only with your permission. External photographers may shoot your stand but must not solicit business or sell images onsite.
Rigging
Only space-only stands over 36 m² may request rigging. Submit proposals to operations@melbournebuildexpo.com.au 21 days before move-in. Banners must trim to at least 4.5 m to underside.
Sampling & Tasting Rules
Exhibitors may sample food and beverage only if core to their business. Portions max 50 g/50 ml (10 ml spirits, 30 ml wine/beer). Obtain approval from organisers and exservices@mcec.com.au. Single-use plastics are banned; use sustainable alternatives.
Security
The organisers accept no responsibility for loss or damage. Keep stands staffed, lock valuables, and report suspicious activity to security.
Shell Scheme
See Shell Scheme section and complete your name-board form via the Exponet Exhibitor Kit. Package includes 2 × LED track lights, 1 × 4 A outlet, 1.8 m trestle, 2 chairs.
Site Survey
Inspect your allocated site before build-up and after clearance to avoid adjustment or damage charges.
Smoking
Smoking is prohibited inside the exhibition halls at all times.
Space-Only Exhibitors
Refer to Space-Only regulations in the manual.
Special Effects
Special effects (lasers, strobes, pyrotechnics, smoke) require prior approval ― email operations@melbournebuildexpo.com.au with risk assessment and operator details.
Storage
Limited onsite storage; arrange with GEL Events.
Trolleys
Trolleys/porters may be hired via GEL Events. Trolleys permitted on the floor only outside show open hours.
Vehicle Exhibits

Vehicles must be drained to minimal fuel, batteries isolated where possible, ignition keys controlled, drip-trays used, and equipped with a 2.3 kg AB(E) extinguisher. Move-in times must be agreed with organisers; vehicles must not obstruct aisles or exits.
Water Features
Water features require organiser approval via the stand-activity form. Charges apply for water supply/removal. Ensure your stand sits over a water/waste pit.
