Access to the Venue
Please note that there is a strict vehicle access policy where NO vehicle will be given access without a vehicle pass, obtainable from the Organisers.
Deliveries can only be made Tuesday 18 May and Wednesday 19 May before 11am. Art Central will not accept deliveries on behalf of any Exhibitor
Aisles
In the interest of public safety all aisles, fire appliances, emergency exit doors and public circulation areas must be kept clear at all times. If any activity on your booth will create a queue or an audience then you must provide room for visitors inside your booth. The aisles are not to be used as queuing and viewing areas. All furniture and other displays must fit within the boundaries of your booth as shown on the Floorplan.
Alcohol
Alcohol is not permitted on the exhibition floor during build up and break down. Alcohol provided for the purposes of hospitality must be supplied by the Venue caterer, details for whom will be supplied by the Organiser at a later date.
Animals
No animals are allowed on-site, except guide dogs.

Audio Visual
If you require audio visual equipment for your booth please contact your Pico representative.
Bags
Unfortunately we are unable to store bags. There are no cloakroom facilities available on site so we request that no large bags are left on site.
Booth Design
We actively encourage Galleries to promote themselves and make the most of their booth whilst at Art Central. Your Pico representative can assist you in this by offering options on different coloured walls, ceilings, etc so please do contact them to see how they can help you. Please ensure your booth is professionally presented at all times.
Car parking
There is NO parking on site or provided.
Catering
Due to COVID19 catering facilities are limited. The Atrium is available on site and for booking https://restaurants.hkcec.com/en/TheAtrium
Cleaning
Your booth and the aisles will be cleaned daily in accordance with the latest government guidelines BEFORE the show opens. Please ensure that anything fragile is clearly marked / protected to prevent damage. All booths MUST be completed by 12pm on Wednesday so that cleaning can take place before the Fair opens at 1pm.
Cloakroom
Unfortunately Art Central does not provide any cloakroom facilities. Please bear this in mind when bringing luggage to the venue.
Dilapidation
No materials may be fixed in any way directly to the Fair walls. Exhibitors will be charged for any damage caused to panels by incorrect fixings being used. Please remember that you remain responsible for making good any damage caused to the fabric of the building by you, your contractors or your agents.
Disabled Access for Exhibitors and Visitors
We would ask that you ensure that your booth and exhibits comply with relevant legislation and are easily accessible to wheelchair users and that all signage is as clear as possible for those with impaired vision.
Distribution of Materials
The distribution of materials such as printed cards / handbills / circulars / leaflets from any area except your own booth is prohibited.
Electrical Regulations
All electrical equipment not provided by Art Central’s official Contractor Pico, must have a certification to prove that it conforms to electrical regulations. Strobe lighting is NOT permitted. If displaying neon, please see information on NEON .
Exhibitor Property
Although the utmost care will be taken with security arrangements, Art Central accept no responsibility for loss or damage to Exhibitor’s equipment or property whilst it is on site at Art Central. Exhibitors should ensure they are adequately covered by insurance for loss, damage and theft.
Fire Safety
All fire equipment must be visible and accessible to the public – under no circumstances should furniture or Booth material obstruct this equipment.
First Aid
If assistance is required please contact the Organiser’s Office. All incidents and accidents must be reported immediately to the Organisers or Security. Please do not call the emergency services yourself. The Organisers will co-ordinate with the emergency services directly to ensure minimum delay. Third party calls slow down response time.
Flooring
The colour of the Fair’s overall flooring is grey. Exhibitors can contact their Pico representative for other flooring options. The floor has a weight limit of 550kg/m2 which must be strictly adhered to at all times. Any items being displayed with rough or sharp surfaces must not rest on the floor. Please use a protective covering to avoid and scratches or damages. Any damage costs resulting from this will be passed on to the Exhibitor.
Forklift
If you require the use of a forklift to move your crates, please contact the Official Shipping Agent, Sunway Express. Requests for forklifts or carriage involving forklifts MUST be booked in advance. If using your own Shipper, they must not assume forklifts are at their disposal.

Furniture
Art Central’s Official Contractor has a wide range of furniture available for hire. Please contact your Pico representative for further information and prices.
Hanging Art
Due to the temporary construction of the walls, and the need for bracing, we strongly urge you to liaise with Pico regarding the hanging of your art to ensure that the walls are not placed under undue strain. If the piece is too heavy for the walls, Pico can also advise you on a reinforcing method.
Height concern of your artwork
If your artwork is 3 meters or above, it must be constructed under the supervision of Registered Structural Engineer. The Registered Structural Engineer must also verify the stability of the temporary structures on-site and submit a safety report to the Fair Organiser prior to the first day of the open period.
If the artwork is 4.5 metres or above, they should not be erected unless a Registered Structural Engineer has verified their structural calculations and design for stability prior to set-up or erection.
Internet
Art Central exhibitors will be given access to venue's internet.

- The Service should ONLY be used for non-mission-critical applications such as general web surfing and internet-based email access. Any online payment or online activities involving large volume of network traffic is not encouraged.
- The wireless network is “open”; a broadband line is therefore recommended for sensitive or confidential messages.
Alternatives for taking payment:
- Order credit card line from HKCEC; we shall setup the credit card line for them at their booth
- Accept cash payment
- Use of other payment method (e.g: online payment)
Insurance
You will need to arrange for your own insurance whilst at the Fair and we suggest whilst in transit to and from the Fair.
Exhibitors are advised to insure all artworks, exhibitors and other property from the time that they leave the gallery of origin and until they return to this location. It is compulsory for all Exhibitors to hold Public Liability (PL) cover of HKD$20,000,000 for the duration of the Fair including build-up and breakdown. It may be that you are already adequately covered under an existing Policy so it is worthwhile checking before taking out a new Policy. The Public Liability insurance must cover accidental bodily injury, illness or disease to third parties and/or accidental loss or damage to third party property arising at the event.
It is a requirement of the Fair to confirm to Art Central that adequate insurance is in place by completing the COMPULSORY FORMS
Ladders
Ladders are prohibited during show open hours. If you require the need for a ladder please see our Official Shipper, G4S International Logistics.
Lost Property
Any Lost Property should be handed into the registration desk at the entrance to the Fair. The property will be held by the Organisers for 1 month after Art Central.
Music
If you would like to play music on your booth or have music as part of your booth design, you MUST obtain your own Music Licence. Consent is required from the Organiser for the use of audio, video and lighting equipment (including video bulletins), live music and performances. “Special effects” lighting (disruptive to the neighbouring booths), smoke machines and laser projection must not be used in the booth without prior written consent from the Organiser. You must also secure the proper licensing for the playing of copyrighted music/music videos on booths that might fall under music licensing laws. Please contact the Operations Director for a Music License Application to make sure you apply from appropriate organisations. All exhibitors are asked to keep noise levels to a minimum so as not to disrupt other exhibitors during the event. In case of any complaints in regards to noise levels, the Organisers reserve the right to decide the noise level.
Nameboard
You will receive a vinyl text name board on one side of your booth. They will include your gallery name and booth number. Please note that no artwork may be displayed on these signposts. The position of these will be on your booth plan.
Opening Times
Please ensure all of your staff are aware of opening times and your booth is open and ready for business at least 10 minutes before the opening announcement.
Pass Out Form
Any artwork removed from Art Central must be accompanied with a Security Pass Out Form. Pass Out Forms will be given to you in your Welcome Pack upon arrival at the Fair. Each Exhibitor must be responsible for his or her allocated slips. These are important documents and should not be allowed to fall into the wrong hands, so please look after them and keep them safe.
Power
Power will be switched off half an hour after the Fair closes. Please note that once the Fair closes on power will not be reconnected for health and safety reasons. If you require power during build up and breakdown then please inform the Organisers.
Shipping
We have appointed Sunway Express as our Official Shipping Partner. Please contact them through Bryan Pang b.pang@sunwayexpress.net who have extensive experience in providing high quality technical services to galleries and their staff are all trained in handling, shipping, transporting, packing and installing artworks. They are happy to advise on any shipping related matters, including Import Duties and Taxes and consolidation of shipments to help save costs. You are of course free to use other shippers.
Site Safety
Children under 16 the age of 16 will not be permitted within the venue during this time. All electrical equipment, including power boards and leads must be tested and tagged with current labels.
Smoking
Art Central is a NO SMOKING venue. Smoking areas are designated outside of the Venue.
Staff
It is imperative your booth is staffed at all times during opening hours. The Organiser cannot be responsible for any loss or theft from booths throughout the show. Visitor traffic will be very heavy on the weekend. We would advise you to prepare enough manpower to monitor your booth, especially to keep artwork from being touched by the public.
Stanchions
Art Central is a Fair open to the public. Please expect theFair to be very crowded on the weekend and for inquisitive visitors to touch the artwork. If you are worried about valuable pieces being touched, you should put up stanchions to keep a distance between the public and your artwork. You can order stanchions from Pico using FORM 6. Onsite orders can also be made to the Venue on a first-come-first-serve basis.
Stand Design

Storage
We will be offering onsite secure storage. Exhibitors will be permitted to store stock onsite in an allocated area provided this has been booked in advance. Storage is limited and is allocated on a first come first serve basis. There will be a charge levied for this service. Please order using FORM 5.
You will be required to sign to acknowledge the following. “We acknowledge that it is a fundamental condition of our being permitted to use the secure storage facility that our storage of items in the facility is entirely at our own risk and we undertake that, in the event of loss of or damage to such items in the facility, irrespective of the cause of such loss or damage, we will not seek recourse against Art Central or any of its agents or subcontractors in relation to such loss or damage, and we further acknowledge that such agents and subcontractors shall be entitled to rely on this undertaking as if it were made directly to them.”
Art Central also provides space for empty crates. Empty crate storage is free of charge, but please note that it will not be secure/managed over the course of the Fair. Whilst Fair Organisers will do their upmost to ensure your property is secure, this area is a shared communal area for all exhibitors and the Organisers can not be held responsible for any loss or damage to property left in this area. All materials and booth fittings must be removed from storage after breakdown otherwise the Fair Organisers will need to dispose of them and the cost will be passed on to the Exhibitor.
Please fill out the Empty Crate Storage Request form so that we know how much space you require. Please note that storage is limited and access to your crates will not be possible during the course of the Fair.
