SAFETY & SECURITY
All Gallerists and staff on site to read and be aware
It is of the upmost importance that galleries and their staff are aware of security and fire procedures. All members of your staff MUST be briefed on the Emergency Procedures. In the case of an emergency, we have evacuation procedures and announcements which you and your team MUST familiarize yourselves with.
On discover of a fire or smoke:
- Alert people in the immediate area
- Close doors and evacuate immediate danger area to the emergency assembly point
- Ensure an alarm has been raised by informing a member of the security or Organising team
- Leave fire area immediately by the nearest exit (emergency exits are marked in green)
- Listen closely to the PA announcements that will offer information
The venue is equipped with an emergency evacuation system, which consists of a siren and PA announcements. There are also Fire Extinguishers located throughout the Venue.
If you hear an alarm, evacuation Announcement or instruction
- Leave the Venue via the nearest exit (emergency exits marked in green)
- If you encounter smoke, use alternate exits where available
- Follow announcements over the PA system or instructions by security staff and/or fire/police officials
- Listen closely to the PA announcements that will offer information
- Meet at the Assembly Point via the safest route (see map below).
- Once outside the Venue, stay clear and do not return until declared safe to do so by fire/police officials.
In case of a medical emergency
Contact the Organisers or security guard. Give an exact location and give detailed information when possible of the injury and cause of injury. Remain in contact with the Organisers until emergency personnel have arrived. There will be a first aider on-site to assist with any medical emergencies.
Health & Safety
We are committed to providing and promoting the highest standards of health, safety and welfare. Galleries and Contractors have a legal duty to ensure that all persons are responsible so far as reasonably practical for the health, safety and welfare of themselves and their employees. This includes providing information, supervision and training as appropriate so that your staff can carry out their work safely. You must have in your possession a copy of your own Health & Safety documentation in respect of any contractors you employ.
Checking your booth
It is important to make regular checks of your booth to ensure that no unidentifiable packages, cases or bags have been deposited. If suspicions arise, do not touch the article but contact the nearest Security Guard or the Organisers Office. When leaving your area each night, please ensure that:
- Appliances are switched off and your stand is checked for potentially dangerous items.
Fire Safety
Booths will be inspected during build-up and the Fire Officer / Venue may refuse any offending materials, or close down your stand if regulations for stand dressing are not met. All materials used on your stand for dressing must be made of non-flammable material. Textiles used to decorate your stand must be fixed taut (not draped) and fixed to a solid backing and secured above floor level, and not touching light fittings.
Security
We take security at Art Central very seriously. Internal security patrols will be carried out, along with spot checks and bag searches, but the Organisers cannot accept any responsibility for loss, damage or accident. It is the responsibility of the Exhibitor not to leave their stand unattended and to protect their products during the Fair. We specifically recommend the following precautions:
- Do not leave bags, mobile phones or other valuables unattended in your stand.
- Consider security when designing your stand – can you keep an eye on all your artworks?
- Always wear your Exhibitor Pass and do not give it to others
- If you see anything suspicious, report it to either the Organisers Office or Security immediately
- Do not leave artworks unattended in your stand. The Organisers cannot accept responsibility for artworks that are lost, stolen or damaged whilst on-site
- If you wish to order additional security staff for your stand, please contact the Operations Manager, Vanessa Leung, who can arrange this for you for an additional charge.
Returning Artworks after the Fair
We recommend you stay until all artwork is packed and handed to your shipper. It is the Gallery’s sole responsibility to ensure all their artworks are safely collected after the fair. Due to limited move out times, we suggest you give your shipper a full list of artworks stating quantity, size of crate and destination to avoid any missing piece. This document should be signed by the gallery and shipper when crates are collected.
Pass Out Forms
All artwork removed from Art Central must be accompanied with a Security Pass Out Form. Pass Out Forms will be given to you in your Welcome Pack upon arrival at the Fair. These are important documents and should not fall into the wrong hands so please keep them safe. During breakdown, items which are packed and in crates do not require a Pass Out Form.
Damage
Any damage to the Venue or Contractors surfaces will be charged to the gallery responsible.
Health & Safety Policy – Do’s and Don’ts
It is the policy of Art Central to endeavour to seek the co-operation of all concerned in order to achieve the highest standards of health and safety. Exhibitors and their contractors are responsible for all activities on their booth throughout the event and any actions that could affect others not on their booth. Exhibitors MUST undertake a risk analysis for the open period of the Fair, and state all risks on Form 3 and 4.
DO:
- Anyone manning your booth MUST understand the fire and evacuation procedures and locations of the exits.
- Ensure that all emergency exits and gangways are kept clear.
- Ensure that any contractor working for you has a suitable and sufficient insurance, health and safety policy statement and good safety practices. Ensure all contractors are trained and competent.
- Working at height must be done in a controlled and safe manner and be properly risk assessed.
- Time constraints are no excuse for not adhering to safety standards.
- Treat all cables as if they are live and ensure only a qualified Pico electrician carries out all electrical work
- Ensure that all rubbish and packing from your booth is removed from the site.
- Make sure that hazardous waste is disposed of safely. Please note that fluorescent tubes and neon contain hazardous materials. Only acceptable substances are allowed on site and full compliance with COSHH regulations is required. Please contact the Organisers for any advice.
- Ask for permission if you need to work late and provide adequate breaks for your contractors and staff, late working may incur extra cost. Tiredness is a major cause of accidents.
- Make sure you are wearing closed toed shoes during build up and breakdown.
- Lone workers must not work on their own at height. A person is working ‘at height’ if there is a possibility of their being injured from falling.
- Make sure that you are properly insured for the exhibition.
DON’T:
- Don’t use flammable materials in your displays. Some combustible materials may be acceptable if treated with the correct fire retardant materials.
- Don't have overloaded or insecure displays. Booths and displays can be knocked by visitors and must be safe and secure.
- Don't bring children into the halls during build-up and breakdown.
- The possession or consumption of alcohol or drugs of addiction is strictly prohibited by on-duty, event related personnel. Persons found under the influence of alcohol or drugs of addiction will not be permitted to commence or continue work under any circumstance.
- Please ensure all staff working for you are trained in manual handling.
- For safety reasons, all aisles must be kept clear at all times.
